Entering References Manually

To manually enter a new reference:

  • From the References menu, select New Reference(Crtl+N), or
  • click on the icon

New references are created via the References menu, not the File menu

Don't forget to select your reference type! New references will default to Journal Article but can easily be changed by choosing the appropriate format from the drop down list.

Entering Author Information

When entering information about authors there are a few points that need to be taken into consideration. Some are outlined below, and further information can be found in the EndNote manual.

  • To enter multiple authors, place each author's name on a new line by pressing Enter after each addition
  • If an author is entered without a comma between names, EndNote will interpret the last word to be the surname. For example, if you enter an organisation such as the United Nations, EndNote will read this as Mr/Ms. Nations, United
  • When a comma is used to separate names, EndNote will take everything prior to the comma to be a surname. In the following examples, the interpreted surname is italicised and bold.

To ensure that organisation names are treated correctly, place a comma after the entire name, as in the final example above for WHO.

Suggestions for Entering Data in Some Other Fields

  • You do not have to enter information into every field.
  • The Label, Keywords and Notes fields can be very useful for finding and sorting references.
  • If you use Keywords or Labels be sure that you standardize them. This may involve editing when you import references from databases.
  • Notes and Research Notes fields can each hold about 16 pages of text.

Inserting Images

You can insert picture files (e.g., bmp, gif, jpeg, tiff) or object files (e.g., MS Excel, Word, PowerPoint) into any reference type and then insert them into Word documents with captions. All EndNote reference types have the fields for image and caption already in place, but three Reference Types are available specifically for images: Figure, Chart or Table, and Equation. When you insert images into a Word document they are listed in the document as "figures", unless you use the reference type: Chart or Table. Images entered as a Chart or Table are listed as "tables" in Word.

  • To insert a picture, select Insert Picture from the References menu or click on the Insert Picture icon

OR

  • To insert an object, select Insert Object from the References menu or click on the Insert Object icon
  • Find and highlight the file you wish to insert
  • Click Open to insert the file into the Image field. EndNote creates a copy of the file in a .DATA folder that is stored with your EndNote library. Therefore any changes made to the original file will not be reflected in the file attached to your EndNote reference.
  • A thumbnail of the image or the object icon appears in the Image field.
  • Enter text in the Caption field. It is important to include information in the caption field, especially if you intend to insert the image into a Word document.

ENDNOTE TIP:

Each EndNote reference can have only one file attached. If you try to insert another image or object, it will replace the one already there.

Closing a Reference

Close a reference by clicking on the close button in the top right corner of the Reference window. You can also go to the File menu and choose Close Reference (CTRL+W)

ENDNOTE TIP:

EndNote automatically saves all changes to a reference when the Reference window is closed.

Since EndNote automatically saves your references "on the fly" it is reassuring to know that in the event of a technological malfunction, your information will not be lost. A down side to this is that it is not possible to revert to a previous version of your EndNote library, so it is important to create backup files regularly.
