Using the Connect file method

What are Connect Files?

Connect files allow you to connect directly to a database and search it from within the EndNote program. You are then able to save your search results directly into your EndNote library, instead of having to use filters to import files. Connect files will only work with those databases that comply with an international standard called Z39.50.

When you use a Connect File you work from within EndNote and EndNote connects to the external source, a library catalogue or database. The search interface you will use to search in the external source is the same search interface that you use to search within an EndNote library. There are some limitations to this search interface so for complex searches you are often better served using the Direct Import or Filter File method to import references if those options are available. On the other hand a Connect File is an easy way to bring in references from library catalogues, especially if you already know the author or title of the reference you want to import into EndNote.

Connecting to a Library Catalogue or Database with a Connect File

Steps:

  • Click on the Connect icon *on theEndNote toolbar.
  • In the Choose a Connection File pop-up window select the catalogue or database you wish to connect to. While you can connect to most of the library catalogues, you only have access to the databases which the ANU subscribes to. To help you, we have entered "ANU" in the Information Provider column so that you know we subscribe to that database. Once you have made your choice hit Connect.

What if you can't find a Connect File or a Connect File Ceases to Work?

At the ANU we sometimes need to create Connect files for new databases we have subscribed to or for upgrades to existing databases. In the event that you need to use a Connect File that is not in the EndNote list of Connect Files you should go to the Module Getting ANU Connect files

Searching with a Connect File

When you search with a Connect File you will not be able to limit searches by language, publication date, scholarly material etc.

  • Enter the search terms in the Search Box
  • Select the Field the search term must be in.
  • Select the Boolean operator you wish to use to connect the search terms.
  • If you need more fields to enter extra search terms click on Insert Field
  • Click search when you are satisfied with your search strategy
  • In the Pop Up Window titled Confirm Remote Search you will see how many references you have retrieved. Click OK to continue. If you have retrieved too many results select Cancel andyou will be returned to the search screen and you will be able to refine your search by entering additional search terms.
  • The retrieved references will be displayed in the Retrieved Reference window. This window looks just like and EndNote library, but in fact, you must now select the references to copy to your reference library.

ENDNOTE TIP:

When you import information, it is important to check your record and ensure that all relevant information has been imported.

Downloading Filter and Connect Files

University installations of EndNote should contain the filter and connect files for those databases to which we have access. If you require any updates for filter and connect files, the ANU Library provides access to these. To locate the files:

  • Click the link on the side menu - Getting ANU filters and connect files
  • Scroll down the page until you locate the file required
  • Click on the appropriate file format (ie: PC or Mac)
  • Save your filter or connect files to your EndNote program directory

ENDNOTE TIP:

Other filter files can be located from various sources, including the EndNote website at www.EndNote.com. Take care when sourcing the files - it is important to ensure that you are using the correct file for the resources used at ANU. Be sure to regularly check your computer for viruses and also check that when imported, the references contain all the relevant information.

Selecting References and Copying References into an EndNote Library

  • To copy all the references into an EndNote library select the Copy All ReferencesTo button and select the EndNote library you wish to import the references to.

There are two ways you can go about selecting references from the Retrieved References window. You can either:

Select references holding down the CTRL key and clicking on the individual references, then copy the selected references into an EndNote library using the Copy Reference To button.

Or delete the references you do not wish to move into your EndNote library then copy all the remaining references. This method is easier if you need to go through and open each individual reference before making your choice as you can then delete unsuitable references as you go. (To delete a reference simply click on the References menu and select Delete Reference).

When you import your references into your EndNote library the new references are highlighted. This can be a useful time to check for duplicate references.

Remember to go back and close the open Connect File by closing the Retrieved References window.
