Module 6 - Managing your EndNote library

Managing References in EndNote

EndNote allows us to copy references from one library to another with relative ease.

Below are two ways to do this:

  • Highlight the reference that you wish to copy by clicking on it
  • Right mouse click and choose Copy. Right click in the library that you wish to paste the reference to
  • Choose Paste. This will paste the reference into the library

The copied references are given new reference numbers in the new library, but will be automatically sorted among the references in the new library. Eg: by author name, date of publication, or whatever method has been applied to the new library.

Alternatively:

  • Click on the reference that you wish to copy to highlight it
  • Drag the reference into the library you wish to copy to
  • Drop the reference in and a copy is now available

ENDNOTE TIP:

When copied or dragged into the new library, the references will automatically be sorted in the same manner as the existing references.

Adjacent Selections

To select a list of adjacent references within a library, click to highlight the first reference required, hold down the SHIFT key on the keyboard and click on the last reference you want selected. EndNote will automatically select all references in between, saving you a number of clicks. You can now drag and drop the list into a new library.

Discontinuous Selections

To make a selection of references that are not adjacent, but still within the same library, hold down the CTRL key on the keyboard and click on each reference that you require. This will allow you to skip the references in between and then drag and drop them to another library to make a copy.

Viewing all References

From time to time, you will find that EndNote will display only a selection of your references. This happens when you import information from outside sources and can be handy, as it avoids the need to scroll through large lists to find the new records. When you want to view all of the records in your EndNote library, go to the References menu and choose Show All References.

Duplicate References

If you have inadvertently imported more than one copy of the same reference, EndNote can remove the extra copies for you. Go to the References menu, and choose Find Duplicates. Once the duplicates are identified, you can delete then using References > Delete References or Edit > Clear.
